Improvon Corona Virus Policy

Preamble

Corona virus, or COVID-19 has been declared a pandemic by the World Health Organisation (WHO). Improvon has concluded a policy to manage the potential adverse effect on business and or stakeholders. The Policy shall be enforced until the 14th of April 2020 and is subject to be amended periodically.

There is no need to panic and make uncalculated kneejerk decisions, the threat of this virus can be greatly diminished through a concerted effort.

Sphere of Policy

The policy will be implemented and extends to all areas where Impact/Improvon Staff and or Employed Subcontractors actively carry out work.

Communication

  • The Group Whatsapp shall be utilized to communicate with individuals directly employed.
  • Further Whatsapp groups shall be set up to include sites/regions, these shall include all individuals employed either directly or indirectly.

Company Interventions

  1. Hand sanitizer and face masks shall be available throughout the above-mentioned Sphere of Policy.
  2. Hands must be sanitized frequently by washing with soap and water (minimum 20 seconds) and or sanitized with hand sanitizer.
  3. No personal contact including handshakes or hugs
  4. If staff present with Flu like symptoms, they are required to self-quarantine at home for 14 days. They should phone, NOT VISIT, their GP and / or the NICD 0800029999 to arrange testing.
    a) If they start symptoms whilst at work, they must wear a face mask and go home immediately.
  5. Office Specific Interventions;
    • Line managers are authorized to allow staff to work flexible hours at the office, with the intended result of fewer people at once in the office spaces.
      • Flexible hours will not be a universal right, the details will be communicated to you and agreed to, by your Line Manager.
      • Staff will still be required to meet their usual deliverables and if working at home be available telephonically, on email and Zoom if necessary.
      • Work from home is to isolate staff inter-personal contact which means that you are required to be at home and not in densely populated areas.
      • It is expected that staff will conduct themselves in a mature manner in this regard.
    • All company travel by air is prohibited.
    • Where possible staff should conduct meetings with external stakeholders over the phone or over internet-based communication.
      • If a face to face meeting at the office cannot be avoided the staff member being visited must ensure the visitor sanitizers their hands and is in good health upon entering the building.
    • Cleaners in the office are required to fastidiously sanitize through cleaning all areas that come into human contact.
      • Including but not limited to door handles, vending machines, canteens, tables, chairs and toilets.
  6. Site Specific Interventions;
    • A Foreman must be present at the beginning of each shift to ensure the clocking machine is sterilized between clocking and that each employee’s temperature is below 37.3 degrees.
    • All visitors coming onto site should have their temperature taken by the security guard or a Health and safety representative anyone with a temperature of 37.3 degrees and above should not be allowed access.
      • Visitors must sanitize their hands upon entry, with hand sanitizer.
    • Delivery notes and other paper documentation received on site must be handled by the site clerk only using rubber gloves and must be placed into a plastic folder for 24 hours before being sent to the office.
    • The site clerk is to ensure that the visitors PPE is cleaned and sanitized before and after each use.
    • Individuals must keep a meter space between themselves, during all site gatherings;
      • Including but not limited to food breaks; toolbox talks and site meetings.
    • Cleaner on site to ensure that all surfaces that come into human contact be frequently cleaned and sanitized.
